Privacy policy

Ignite CRM is a customer relationship tool for real estate agents licensed with Ignite Real Estate Group (“Ignite”, “we”, “us”). This policy explains what information the app handles, why, who can see it, and the choices you have. We wrote it in plain English on purpose.

1. Who this applies to

  • Agents who create an Ignite CRM account.
  • People an agent keeps in their CRM (leads, clients, past clients, sphere of influence), and people who fill out an agent’s lead form.

For the contacts an agent adds, the agent decides what to store and how to use it, and Ignite CRM acts as the tool that holds it for them. If you are on an agent’s list and want to be removed or see what they have, please ask that agent first. You can also contact us (section 12) and we will pass your request along.

2. What we collect

From agents

  • Account details: name, email address, mobile phone, TREC license number, title, and your email sign-off.
  • Your password, which is stored only as a one-way hash by our sign-in provider. We cannot see it.
  • The contacts, notes, call logs, tasks, deals and settings you enter or import.
  • If you connect an email account: the email address, and a secure connection token (Google or Microsoft) or an app password (other providers). See sections 3 and 7.
  • Basic technical data such as the time of sign-in, your browser type and error logs, used to keep the service running and secure.

From people who fill out a lead form

  • What they type in: name, email, phone, property address, and any other questions the agent chose to ask.
  • The form shows the agent’s name and brokerage so the person knows who will contact them.

What people agree to when they submit a lead form. Each lead form asks for permission in plain words. The standard wording is:

By submitting this form, I agree that [the agent] of Ignite Real Estate Group may contact me about real estate, by email and by phone call or text message, at the email address and phone number I entered, including with automated technology. I understand that I am not required to agree to this as a condition of buying or selling a home or any other purchase. Message and data rates may apply, and message frequency varies. I can opt out at any time by clicking the unsubscribe link in any email, replying STOP to a text message, or telling [the agent] I no longer want to hear from them.

Anyone who submits a form can change their mind at any time using the choices in that wording, or by writing to us (section 12).

3. Google user data (Gmail)

If you choose “Connect Google / Gmail”, Ignite CRM asks Google for permission to send email as you (the gmail.send permission) and to read your email (the gmail.readonly permission). We use those permissions only to:

  • send the one-time emails and sequence emails you create in Ignite CRM, from your own Gmail address; and
  • notice when a contact replies to one of those emails, so we can match the reply to the contact and stop their follow-up sequence. We look only for replies to emails sent through Ignite CRM. We do not browse, copy or store the rest of your mailbox.

How long we keep Google data: the connection token is stored until you disconnect, and is deleted the moment you do. We keep only the reply information needed to show your history in the CRM, for as long as the contact stays in your CRM.

We do not use Gmail data for anything else. In particular, we do not:

  • sell your Gmail data or share it with advertisers or data brokers;
  • use it for advertising, or to build profiles unrelated to your CRM;
  • use it to train artificial intelligence or machine learning models;
  • let people at Ignite read your mailbox, except with your clear permission, to investigate abuse or a security problem, or to follow the law. Ignite administrators cannot open your Gmail. The one related case is support mode (section 5): an administrator helping you sees the same app screens you see, which can include the replies Ignite CRM has matched to your contacts, only to help you, and every session is logged.

Ignite CRM’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Microsoft Outlook connections work the same way, using Microsoft’s permissions to send mail as you and to detect replies. You can disconnect at any time in Settings, and also revoke access from your Google account (myaccount.google.com/permissions) or Microsoft account.

4. How we use information

  • To run Ignite CRM: show your contacts, tasks and pipeline, and send the emails you ask us to send.
  • To create your leads when someone fills out your form, and to notify you.
  • To keep the service secure, fix bugs, prevent abuse and make backups.
  • To contact you about your account (for example, a confirmation or password reset email).

We do not sell personal information, and we do not use it for third-party advertising.

5. Who can see your information

  • Other agents cannot. The database is built so that each agent can only see their own contacts, notes and tasks.
  • Ignite administrators (owners and admins) can see account-level information to run the program: your name, email, phone, license number, role, when you joined and last signed in, whether you connected an email account, and simple counts (contacts, new leads, emails sent). The admin tools do not display your contacts, notes or messages. The only way an administrator can see those is support mode, described next.
  • Service providers that host and run the app for us, under their own security commitments: Supabase (database and sign-in), Vercel (website hosting), GitHub (where our encrypted nightly backups are stored; we hold the only key), and the email provider you connect (Google, Microsoft, Yahoo, or similar) when mail is sent or received.
  • Legal and safety: we may disclose information if the law requires it or to protect people from harm.
  • Business changes: if Ignite’s business is reorganized or transferred, information may move with it under this policy.

Support mode: when an administrator signs in as you

To fix a problem for you, an Ignite owner or admin can sign in to Ignite CRM as you. We tell you about it here, in the Help section of the app, and when you ask.

  • Only to help you. It is used for support, for example fixing a setup problem you asked about. It is not used to look through your contacts for other reasons, to market to them, to copy them, or to evaluate you.
  • While it is on, the administrator sees what you see and anything they change is saved as you. A red bar stays on every screen of their session, and it ends by itself after 2 hours.
  • It is recorded. Every time support mode starts or ends is written to an audit log that cannot be edited or deleted, with who did it, for whom, and when. Administrators cannot use it on other administrators or owners.
  • Your Gmail or Outlook stays yours. Support mode does not give anyone access to your mailbox. It can only show the same CRM screens you see, which can include the emails Ignite CRM sent for you and the replies it matched (section 3).
  • Ask us. Email admin@igniterealestategrp.com to ask whether anyone has signed in as you, or to raise a concern. We will tell you what the log shows about your account.

6. Your contacts and the law

Agents are responsible for using their contacts lawfully, including the CAN-SPAM Act, the Telephone Consumer Protection Act, Do Not Call rules and fair housing laws. Marketing emails sent through Ignite CRM are required to include an unsubscribe link and Ignite’s name, license number and address, and people who unsubscribe or are marked “Do not contact” are not emailed.

7. How we protect information

  • All traffic is encrypted in transit (HTTPS).
  • Email connection tokens and app passwords are stored in an encrypted vault, never in plain text and never shown in the app or our logs. Signed-in users can store them but cannot read them back.
  • Row-level security in the database keeps each agent’s data separate.
  • The database is backed up every day (section 8).

No system is perfectly secure. If we learn of a breach affecting your information, we will tell you as the law requires.

8. How long we keep information, and deleting it

  • We keep your information while your account is active.
  • If you leave Ignite or ask us to close your account, we delete your account and your CRM data. Daily backups are kept for up to 30 days, after which the deleted data ages out.
  • When you disconnect an email account, its stored token or password is deleted immediately.
  • Contacts you delete are removed from your CRM. They may remain in a backup until it expires.

9. Your choices

  • See and edit your details in Settings.
  • Disconnect your email account in Settings at any time.
  • Ask for a copy of your data or for deletion by writing to us (section 12).
  • Texas residents and others with privacy rights under state law may ask us to access, correct or delete their personal information. We will respond within the time the law allows.

10. Cookies

We use only the cookies needed to keep you signed in and to complete the Google or Microsoft sign-in safely. We do not use advertising or cross-site tracking cookies.

11. Children

Ignite CRM is for licensed real estate professionals and is not meant for anyone under 18. We do not knowingly collect information from children.
